Destination Weddings
Yes — from the room block down to individual guest questions, your dedicated advisor is the single point of contact for your entire wedding party, not just the two of you.
Plan on 9–12 months minimum, and longer for a popular destination during peak season — this gives guests enough notice to book their own travel and gives you first pick of the venue’s preferred dates.
Consider flight access (direct routes matter more than distance on a map), passport/visa requirements for your guest mix, and a range of lodging price points so guests on different budgets can all attend comfortably.
We negotiate a discounted group rate held at the property for your guests to book into by a set deadline; it’s usually cheaper than the public rate and guarantees rooms are available, but unbooked rooms after the deadline are typically released back to the hotel.
That’s up to you. Most couples cover it as part of the wedding budget, though some structure it so guests booking through the room block absorb a small portion via the group rate.
Every country has its own residency waiting periods, document requirements (birth certificates, divorce decrees, apostilles), and translation rules — we or a local wedding planner will confirm the exact list well before travel so paperwork isn’t a last-minute crisis.
It depends on the hotel’s group cancellation policy and how close to the wedding it happens — this is exactly the scenario travel insurance with trip cancellation coverage is designed for, and we recommend it to every guest, not just the couple.
We typically handle travel, lodging, and room blocks directly. On-site vendors (photographer, florist, officiant, catering) are usually arranged through the resort’s wedding coordinator or a local wedding planner — but if you’d like more hands-on help, we also offer full wedding-planning services for an additional fee. We monitor advisories for the group and work with the venue on contingency options; this is another reason to book during shoulder season when possible and to make sure trip insurance with named-storm coverage is in place well before hurricane season.
Offer a range of room categories within the block (or a nearby overflow property at a lower price point) so guests can self-select what they’re comfortable spending without singling anyone out.
Save-the-dates should go out 9–12 months ahead for anyone needing to arrange travel and time off work; formal booking instructions and the room-block deadline typically follow a few months later once the block is finalized.
Look for a policy that explicitly covers wedding-specific reasons (vendor no-show, venue closure) in addition to standard trip cancellation/interruption — not all policies include this by default, so it’s worth asking us specifically.
